Full Application Process Overview

1 year to 6 months from departure

  1. Choose a program: Where do you want to study/do your service learning/internship? When do you want to do your study/project? See your Study Abroad office in the Center for Intercultural Engagement for assistance. (PAC C4)
  2. Meet/contact the Study Abroad Coordinator in the Center for Intercultural Engagement
    1. Set time to meet with coordinator for initial interview
    2. Get dates for required pre-departure meetings. (See UU Study Abroad website)
    3. Make sure you have a valid passport for international programs (valid 6 months after return date)
    4. If using a third-party provider (like CEA) verify application and additional scholarship deadlines
  3. Log in to
    1. Create a profile
    2. Verify that the chosen program is listed, and the application is "open"
    3. Begin the application and complete through the Dean of students and Faculty Adviser approval section under recommendations; the rest of the application will be completed later.

6-3 months out

  1. Continue the application process

    For Study Tour participants:
    1. If you are using a UU faculty led/directed program, be sure and contact the UU professor who is overseeing your study/project.
    2. In the case of a Study Tour/Course Embedded program, please get all costs including study abroad fee from the faculty leader. There will be both trip AND UU tuition costs, depending how many hours of credit you receive.

    For individual travelers:
    1. Log back into Horizons. Do as much as you can and save your information. You can return to all the pages later. Make sure you choose "yes" for the External Study scholarship if you are eligible (non-UU tuition). Mark the deadline on your calendar.
    2. If you are using a third-party provider (such as CEA) be sure and begin their application process. Remember to pay the deposit/application fee directly to the provider. See section 10 below concerning the remaining payments due.
    3. Fill out External Study Scholarship paperwork if your study/project qualifies. At least one recommendation needs to be from a faculty member who can speak to your academic ability.
    4. Discuss choice of courses with your academic adviser.
      1. Include backup options in case your choice gets cancelled
      2. Have a clear picture in your mind of how these courses fit in your program

3-1 month out

  1. Attend all pre-departure training sessions
    1. Meet again with Academic Adviser to confirm courses and get required signatures
      1. Major/minor course require Department Chair signature
      2. Core courses require Registrar signature
      3. Electives require Study Abroad Coordinator signature
    2. Make an appointment with Financial Planning
      1. Copy of your Financial Aid package from Self Service
      2. Does your study/project program charge external fees?
      3. Do you pay UU tuition?
      4. Is it a Hybrid program? A combination of external and UU tuition?

Before you leave for Summer/Winter break prior to your date of departure

  1. Make sure you have:
    1. Paid all fees due for your program to the Program Coordinator in the CIE Office
    2. Submitted all paperwork (Financial Planning and Registration)
    3. Completed all sections of the Horizons Travel Registry
